Set up billing rates for an asset

Set the asset’s usage rate (the full rate per usage unit), shortfall rate (applied to under-use of minimum usage), weekday and weekend minimums, event fees, and capture settings.

The screen you use depends on how many assets your syndicate has. See Default and per-asset settings for the cascade.

Before you start

  • You must be an owner or admin (treasurer counts as admin).
  • Currency is set separately on Payments & Schemes.
  • Rates are entered without VAT.

Steps for a single-asset syndicate

  1. Open the syndicate.
  2. Go to Dashboard → Syndicate settings → Billing & Rates. Route: /syndicates/:syndicateId/settings/billing.
  3. Under Billing, enter:
    • Usage rate — the full rate per usage unit (for example, £180+VAT per hour for a wet-rate aircraft).
    • Shortfall rate — usually lower than the usage rate, applied to the minimum-usage shortfall.
  4. Under Minimum Usage, enter Weekday minimum and Weekend minimum in usage units. Zero disables the shortfall for that day type.
  5. Under Event Fees, enter the Landing fee (per landing) and Touch & Go fee (per circuit) if your asset incurs per-event charges.
  6. Under Usage Capture and Billing, set:
    • Usage capture mode — what the usage log captures.
    • Billing basis — which measurement drives the hourly charge.
    • Default taxi minutes — subtracted from clock time when billing basis is clock time.
    • Engine meter label (Tacho, Hobbs, or custom) and Clock time label (Brakes, Blocks, Chocks, or custom).
  7. At the bottom, fill in the Per-Scheme Rates table — the effective rate for each billing scheme on this asset.
  8. Tap Save.

Steps for a multi-asset syndicate

The same screen is now labelled Default Billing, Default Minimum Usage, Default Event Fees, Default Usage Capture and Billing. These values apply to every asset unless overridden per asset.

  1. Open Dashboard → Syndicate settings → Billing & Rates and set the defaults the same way as above.
  2. The Per-Scheme Rates table is replaced with a note: per-scheme rates are configured on each asset.
  3. Open each asset at Syndicate → Assets → [asset] → Billing. Route: /syndicates/:syndicateId/assets/:assetId/billing.
  4. Either leave a field empty to inherit the syndicate default, or enter a value to override it for this asset only. The hint text shows the inherited value.
  5. Set the Per-Scheme Rates table for this asset.
  6. Tap Save on each asset.

If it goes wrong

Section titled “If it goes wrong”
  • A required field is empty — Usage rate and Shortfall rate are required. Fill both and try again.
  • The effective rate on a usage log looks wrong — trace the rate resolution chain: per-asset override → scheme modifier → base rate.
  • Past charges don’t change when you save — rates are snapshotted at usage-log time. See Finalisation rules.
